YardTrack ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose and store your personal information when you use the YardTrack application and website (collectively, the "Service"). By using the Service, you agree to the collection and use of information in accordance with this policy.
YardTrack is operated by an individual trading under their personal name, based in Australia. We are subject to the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Information We Collect
We collect information you provide directly to us, as well as information generated through your use of the Service.
Account information: When you register for YardTrack, we collect your name, email address and password (stored as a secure hash). You may optionally provide your business name, ABN, dealer licence number, and a business logo.
Vehicle and business data: Information you enter about vehicles in your inventory, including make, model, year, VIN, registration, purchase price, sale price, costs, and photographs. This data belongs to you and is stored on our servers solely to provide the Service.
Customer data: Names, phone numbers and email addresses of your customers that you choose to record in the app. You are responsible for ensuring you have appropriate authority to store this information.
Usage data: We may collect information about how you interact with the Service, including log data such as your IP address, browser type, pages visited, and timestamps. This data is used to maintain and improve the Service.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate and maintain the YardTrack Service
- Authenticate your identity and manage your account
- Sync your data across devices
- Respond to your enquiries and support requests
- Send you important notices about the Service (e.g., changes to terms or pricing)
- Improve and develop new features of the Service
- Comply with our legal obligations
We do not sell, rent or trade your personal information to third parties for marketing purposes.
3. Data Storage and Security
Your data is stored on servers managed by our hosting provider. We implement reasonable technical and organisational measures to protect your information against unauthorised access, alteration, disclosure or destruction. These measures include encrypted data transmission (HTTPS/TLS), hashed password storage, and JWT-based authentication.
While we take security seriously, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.
4. Data Retention
We retain your account and business data for as long as your account is active. If you close your account, we will delete your personal data within 30 days, unless we are required to retain it for legal or compliance purposes.
5. Sharing of Information
We do not share your personal information with third parties except in the following circumstances:
- Service providers: We may share data with trusted third-party service providers who assist us in operating the Service (e.g., hosting providers, email delivery services). These providers are bound by confidentiality obligations and may not use your data for any other purpose.
- Legal requirements: We may disclose your information if required to do so by law, or in response to valid requests by public authorities (e.g., a court or government agency).
- Business transfers: In the event of a merger, acquisition or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.
6. Cookies and Tracking
The YardTrack website may use cookies and similar tracking technologies to improve your browsing experience and analyse website traffic. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, some features of the Service may not function properly without cookies.
The YardTrack app uses local storage (on web) and secure device storage (on iOS) to store your authentication token. This data does not leave your device except as part of authenticated API requests.
7. Your Rights
Under the Australian Privacy Principles, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of your personal information (subject to legal obligations)
- Complain about a breach of your privacy rights

8. Third-Party Links
The Service may contain links to third-party websites or services (such as the PPSR check portal or the Queensland Transport registration portal). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

YardTrack is not directed at children under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact us and we will take steps to remove that information.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the Service after any changes constitutes your acceptance of the new policy.
